Here's how you can use Meetings to Set Up and Automate Surveys ahead of important planning sessions!
You can create Surveys using Meetings, making it easy to collect and review responses ahead of important planning sessions. This is especially useful for things like Quarterly Meetings where you'd like to understand how your team has reflected on the last 90 days.
To help you get started, we suggest using our Survey templates, where each Agenda Item is set up to only show answers after the meeting starts on the selected survey date.
Step 1: Create a Survey Meeting
- Go to the Meetings page and select Add Meeting in the top right corner.
- In the Add Meeting pop-up, select Copy settings and agenda items from to access survey templates.
- Click the drop-down arrow and select the appropriate Survey template (e.g., Quarterly Prep Survey).
Step 2: Set Meeting Date and Recurrence
- Choose the Meeting Date and Time—this will be the date responses become visible.
- Example: If your Quarterly Planning Session is on June 20, we suggest setting the survey date to June 19 at 9 AM. This allows time for the respondents to see each other's answers a day before the meeting starts.
- Choose the date and time that best fits the flow for your organization!
- If needed, mark the meeting as Recurring and set the Frequency (e.g., Quarterly, 3rd Monday of the 3rd month).
- Click Add Meeting (You do not need to add attendees yet).
Step 3: Customize the Survey
- Edit Agenda Items by selecting the Pencil icon to adjust wording.
- Remove unnecessary items using the Garbage Can icon.
Step 4: Add Attendees and Assign Admins
- Once the survey is finalized, add attendees to participate.
- Meeting Admins have the same permissions as the Organizer. If someone needs early access to responses, add them as a Meeting Admin.
Answer Visibility
If you have toggled on the settings to hide responses to the Question Agenda Item in a survey meeting (or any meeting), please note that those with the following permissions will be able to see the responses:
- Meeting Organizer
- Meeting Admin
- Coaches with Coach User Privileges
- Note: Those that are made a Coach within the Team Members page are not Coaches with Coach User Privileges. Only those who own Coach Accounts in the Software will have these additional visibility permissions.
