How do I offboard a Team Member?

Offboarding a team member involves careful steps to ensure all their responsibilities are properly reassigned. Follow this checklist to complete the process based on whether their function is being reassigned or deleted.

  1. Re-assign All Metrics:
    1. Before making any changes, reassign all the team member’s metrics to another team member. It’s recommended to reassign them to the person they are reporting to.
      1. Go to 'Metrics'
      2. Select the desired Team Member
      3. Re-assign their Metrics and either:
        1. Create a new Scorecard Metric
        2. Leave Unlinked
      1. Note: Currently, you will need to do this individually for the Parent Metric and any Child Metrics 
      1. Go to 'Scorecards'
      2. Select the desired Team Member
      3. Unlink any remaining Metrics
  1. Re-assign Priorities:
    1. Reassign their Annual and Quarterly priorities to other team members, starting with the person they report to unless a clear successor for the priorities is identified.
    2. Ensure that all active priorities are fully transferred before proceeding to the next steps.
  2. Remove From Meetings:
    1. Navigate to the Meetings page.
    2. Locate all meetings that this team member is an attendee of.
    3. Remove them from All Meetings they are a part of.
      1. Note: Only Admins, Assistants, or the Meeting Admins can remove Team Members.
  3. Re-assign KFFM:
    1. If the team member owns a function on the KFFM, they must be replaced with another team member before moving onto next steps.
    2. Go to the KFFM.
    3. Select 'Edit' in the top right.
    4. Choose the Function you want to re-assign by selecting the pencil icon.
    5. Select the Function box and select another team member.

 

Scenario 1: If the Function Will Be Deleted

Once the metrics and priorities are reassigned, follow these steps if the team member's function will be deleted:

  1. Remove the Team Member from the Team View:
    1. Go to the Team View and remove the team member’s function.
      1. This will also remove the team member from the view.
  2. Disable the Team Member in the Team Members Page:
    1. Navigate to the Team Members page and disable the team member’s account.
  3. Delete the Team Member:
    1. Once the team member is disabled, you can safely proceed to delete them from the system.

Scenario 2: If the Function Is Being Reassigned

For cases where the team member’s function is reassigned to someone else, follow these steps:

  1. Unassign the Team Member from Their Function:
    1. In the Team View, unassign the team member from their current function, allowing the new assignee to take over.
  2. Disable the Team Member in the Team Members Page:
    1. Go to the Team Members page and disable the team member’s account.
  3. Delete the Team Member:
    1. Once they are disabled, proceed to delete them from the system.
