Quarterly Checklist for Team Members and Managers

Use this checklist at the start and close of each quarter to make sure your company is and account are all ready to go. This is meant as a general guide; steps may vary depending on your company's specific setup.

Team Members

 1. Close Out the Current Quarter

  • Review your own Quarterly Priorities and confirm they are marked as complete or updated to carry over into the next quarter.
  • Confirm all of your outstanding Action Items are either completed, updated with current status, or intentionally carried into next quarter using the Move Priority function.
  • Review your Metrics to confirm data has been consistently entered with no gaps.
  • If applicable, complete any Reviews you have been assigned as a Reviewer or Reviewee.

2. Prepare for the New Quarter

  • Create new Quarterly Priorities, including Sub-Priorities and Action Items with correct due dates.
  • Review your Metrics to confirm if they should still be tracked in the current quarter. If so, ensure the new Targets have been entered. 
  • Review your Scorecard to confirm your role, function, and reporting relationship are still accurate.

  • Review Meeting Agendas and cadences to confirm if any information should be updated. Tag the Metrics and Priorities that should be present in the respective Meetings

3. Review with your Manager

  • Confirm any changes with your Manager and review if any other changes are required. 

 

Managers

  1. Reviews

  • Complete or facilitate any Reviews scheduled to close out at the end of this quarter
  • Schedule or confirm upcoming Reviews for the new quarter
  • Confirm Lock and Score Privacy settings match your intended process (Manual, Shared, or Review Date)
  • Confirm Reviewers and Organizers are correctly assigned for each Review
  • Follow up with any Direct Reports who have outstanding Reviews to complete

2. Review Scorecards with Direct Reports

  • Meet with each Direct Report to review their current Scorecard
  • Confirm their role, function, and reporting relationship are still accurate
  • Update Scorecards to reflect any role changes, promotions, or new hires
  • Discuss and align on their Quarterly Priorities for the new quarter
  • Confirm their Metrics are still relevant, and update targets and type as needed

3. Meetings

  • Review for any Meetings to be re-scheduled due to holidays, vacations or other purposes. 
  • Review your recurring meeting cadence (Daily Huddle, Weekly, Monthly, Quarterly) to confirm dates align with the new quarter
  • Update Agenda Items and Attendee Lists as needed

4. One Page Plan

  • Confirm the BHAG, Core Values, Purpose, and Brand Promises are still accurate and require no updates
  • Review the 3HAG and 1HAG to confirm the business is still tracking toward the annual and 3-year goals
  • Update the QHAG (Quarterly Highly Achievable Goal) to reflect the new quarter's focus
  • Walk through the One Page Plan end to end to confirm it reflects the new quarter accurately
  • Communicate any major changes to your Direct Reports ahead of the new quarter's first meeting

 5. KFFM

  • Confirm the KFFM reflects the metrics most critical to this quarter's focus and the colour-scoring reflecting the departments' health is accurate.
  • Update or add metrics to the KFFM if needed.

6. Swimlanes

  • Review Swimlanes to confirm they still accurately reflect your team's goals for the upcoming quarters and that the Quarterly Priorities set for the upcoming quarter align with the plan.
  • Update or add Swimlanes if new workflows or processes have been introduced

7. Function Chart

  • Confirm the Function Chart reflects current functions across the team
  • Update if any functions have shifted or been reassigned during the quarter

8. Team View

  • Review Team View to confirm reporting lines and functions are displaying accurately
  • Confirm all active team members have an assigned Scorecard, since this is what populates Team View

9. Team Member Access Levels

  • Review access levels (Admin, Assistant, Team Member, etc.) for your Direct Reports to confirm they are still appropriate
  • Update access levels for any role changes, promotions, or new hires
  • Confirm departing team members have had their access removed or adjusted as needed
